Position Overview:
We are seeking a proactive and professional Receptionist and Front Desk
Administrator to join our team. The primary responsibility of this role is to manage
the reception area efficiently while providing exceptional customer service to visitors,
guests, and staff. Additionally, this position involves handling administrative tasks to
support the smooth operation of the office.

Responsibilities:

Reception Duties:
• Greet visitors, guests, and staff in a courteous and professional manner.
• Manage incoming and outgoing mail and packages.
• Maintain a tidy and organized reception area.
• Ensure security procedures are followed, including visitor sign-in and access
control.
 

Visitor and Guest Assistance:
• Provide assistance and information to visitors regarding the company, its
services, and facilities.
• Coordinate visitor and guest appointments, including meeting room
reservations.
• Escort visitors to appropriate personnel or meeting rooms as necessary.
• Address visitor inquiries and requests promptly and accurately.

Administrative Support:
• Assist with various administrative tasks, including data entry, filing, and
document preparation.
• Managing the housekeeping staff.
• Manage office supplies inventory and place orders as needed.
• Support staff with scheduling appointments, travel arrangements, and other
administrative tasks.
• Assist with coordination of company events, meetings, and conferences.

Communication and Coordination:
• Communicate effectively with internal teams and external stakeholders.
• Relay messages and information accurately and promptly.
• Coordinate with other departments to ensure smooth operations.
• Maintain confidentiality of sensitive information.
 

Problem Solving:
• Address issues and concerns raised by visitors, guests, or staff promptly and
professionally.
• Troubleshoot and resolve minor technical or facility-related problems.
• Escalate complex issues to appropriate personnel as needed.
 

Requirements:

• Proven experience as a receptionist, front desk officer, or similar role.
• Excellent communication and interpersonal skills.
• Professional appearance and demeanor.
• Strong customer service orientation.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Ability to multitask and prioritize tasks effectively.
• Attention to detail and accuracy.
• Ability to work independently as well as part of a team.
